1. Your Right to Deletion
You have the right to request deletion of your personal data from our systems. This includes your account, personal information, and associated records, subject to legal retention requirements.
2. How to Request Deletion
- Send an email to akshaykotish@gmail.com with the subject line: "Data Deletion Request"
- Include your registered phone number or email address, full name, and the reason for deletion.
- Verification — We will verify your identity via OTP sent to your registered phone/email within 48 hours.
- Processing — Upon verification, your data will be deleted within 30 days.
- Confirmation — You will receive an email confirming the deletion of your data.
3. What Gets Deleted
- Your user account and authentication data.
- Personal information (name, phone, email, address).
- Employee records (if applicable) — salary, bank details, insurance, PAN, UAN.
- Email aliases and mailbox data.
- Documents, templates, and files you created.
- AI conversation history.
- Authentication and access logs.
4. What We Must Retain
Legal Requirement: Under Indian tax law (Income Tax Act, 1961 and GST Act, 2017), we are required to retain certain financial records for a minimum of 8 years. This includes:
- Invoices and billing records (anonymized where possible).
- Payment transaction records.
- Journal entries and accounting records.
- GST filing data and tax computations.
- Payroll records for statutory compliance (PF, ESI, TDS).
These records will be anonymized (name/email removed) but the financial data will be retained as required by law.
5. Third-Party Data
Upon deletion, we will also remove your data from:
- Firebase Authentication — Account deleted.
- Razorpay — We cannot delete data from Razorpay's systems. Contact Razorpay directly for their data deletion policy.
- Email providers — Sent emails cannot be recalled, but your alias will be removed.
6. Account Deactivation (Alternative)
If you prefer to deactivate rather than delete, we can disable your account while retaining your data. You can request reactivation at any time. To deactivate, email us with the subject: "Account Deactivation Request".
7. Deletion Timeline
- Request received: Acknowledgment within 48 hours.
- Identity verification: 1-3 business days.
- Data deletion: Within 30 days of verification.
- Confirmation: Email sent upon completion.
- Backup purge: Deleted from backups within 90 days.
